Everyone wants to have a well-organized collection of files and folders on their PC as it makes tasks of finding a particular file very easy. If you haven’t kept your files and folders in an organized way, it can be very time-consuming if you are searching for any specific file which you want urgently. It can delay your tasks which need to be done on an urgent basis, and can sometimes become a reason for a considerable loss. Whenever you search for a desired file or folder between the bundle of files and folders which are not arranged systematically, it will lead to unnecessary clicks on each of the files and folders to check for your desired one. It will lead to wastage of your precious time and make you feel uncomfortable and irritated. It would be best if you did not waste your time by searching for a document which, when kept in an organized way, could have been found in a couple of seconds.

 So, it is better to keep your data in a proper systematic and organized way so that the file or folder which you are searching can be found in a couple of seconds, not in minutes or sometimes hours. In the earlier days, there were paper-based cabinets where you need to place your documents and keep them in a row or somewhere in sorted order. But nowadays the digital systems have taken place, and they consume a reasonable amount of time to search for any particular file if the data is not kept in an organized way. However, there is a search option available on PCs and Laptops, but it can be hardly of any use when you don’t remember the file name correctly. Restrict Yourself from Putting Your Files on the Main Screen

The first thing that the users should ensure is to keep the main screen of their PC or Laptop, neat and clean. There must be only essentials on display, like My Computer, Recycle Bin, and a few other options, and not more than that. All the files and folders should be on the PCs internal storage, not on the home screen.

Create Limited Folders

Doing this will keep your documents in a sorted format if you have a few well-organized folders with specific names for each. You can add files to those folders, instead of creating more and more folders for different files. If you create as many folders as the files, then the created folders will be of no use as among them. Also, it will take an equivalent amount of time to search for the particular file which you want. So, it is better recommended that you should keep the folder limited to the requirements only.

Keep Relatable Names for Your Files and Folders

You should keep your file and folder’s name relatable. The file name should match the contents of the file. And the folder name should match with the content inside it. For example: if you have pdfs which area your monthly internet bills, name the month on the pdfs and create a folder called “Monthly Internet Bills” and write the year for which they are, and then add all the pdfs of that particular year to that folder. Doing this will let you discover the bill of any specific month of any of the year, very quickly.

You can also use the Dropbox facility for accessing documents on different devices, whenever required. Also, if you want to share your documents with others, you can do it with some clicks. Various other facilities are there which are similar to Dropbox, like Google Drive, iCloud Drive and many more.

Folder Templates

While you have started keeping your documents in an organized way, you will realize that there are some folders which you visit very often for your purposes. These documents can be related to project works, financial notes, or client information. Creating a folder template can be very helpful as it will save time and improve consistency as you will already be aware that the folders will be named in the same way every time you create them. This will make it easy to locate the folder as you will already be knowing where they are.

Add Shortcuts

If you use any specific folder very often, then you can place it on the main screen. Putting some of the folders on the main screen is acceptable mainly if you use them almost all the time. You can place a shortcut of the particular folder to the main screen.
